For many SMEs, Microsoft 365 Business Standard appears to tick all the boxes. It includes Outlook, Word, Excel, Teams, OneDrive and Exchange Online, giving users everything they need to work productively.
However, productivity is only half the story.
In today’s threat landscape, businesses are no longer being targeted because they are large. They are being targeted because they are vulnerable. The biggest difference between Microsoft 365 Business Standard and Microsoft 365 Business Premium isn’t what employees can do. It’s how well the business can protect itself.

The productivity tools are virtually identical. The real value comes from the additional security and management capabilities included in Business Premium.
The Biggest Reason: Conditional Access
If there is one feature that justifies the upgrade on its own, it is Conditional Access.
Business Standard relies largely on passwords and basic MFA. Whilst MFA is essential, it does not stop all attacks. Cyber criminals are increasingly finding ways to bypass MFA through phishing, token theft and session hijacking.
Conditional Access allows you to decide who can access company systems, from where, using what device and under what conditions. Microsoft describes Conditional Access as its Zero Trust policy engine, using signals such as location, device status, risk levels and user identity to determine whether access should be allowed.
Without Conditional Access
Imagine a hacker obtains a user’s password through a phishing email. With Business Standard:
- The attacker can attempt to log in from anywhere in the world.
- The login request appears legitimate.
- Basic MFA may still be bypassed through various attack techniques.
- The business has limited control over the conditions of access.
With Conditional Access
The same attack becomes significantly more difficult. You can create policies such as:
- Only allow logins from the UK.
- Block sign-ins from high-risk countries.
- Require MFA when a login originates from an unfamiliar location.
- Only permit access from company-managed devices.
- Block access if the device does not meet security standards.
- Prevent access from devices missing antivirus or critical updates.
If a cyber criminal in Eastern Europe, Asia, Africa or South America attempts to log in using stolen credentials, Microsoft can immediately block the request before access is granted.
This is where the “hack from anywhere in the world” problem disappears. Instead of assuming every login is trustworthy, Conditional Access asks: Who is trying to access the system? Where are they connecting from? Is their device trusted? Does the login look suspicious?
If the answer to any of those questions is concerning, access can be denied automatically.
Zero Trust Security for Small Businesses
Historically, these capabilities were reserved for large enterprises.
Business Premium brings enterprise-grade security to organisations with just a handful of users. A common policy we deploy for clients is:
- Require MFA for all users.
- Block legacy authentication.
- Restrict access to UK locations.
- Require compliant devices.
- Alert administrators to suspicious sign-ins.
This single configuration dramatically reduces the risk of account compromise.
Intune: Control Every Device
Another major advantage is Microsoft Intune.
With Business Standard, every laptop must be configured manually or through third-party tools. With Business Premium, administrators can:
- Deploy security settings automatically.
- Enforce BitLocker encryption.
- Control Windows updates.
- Configure antivirus policies.
- Apply security baselines.
- Verify device compliance.
Internal guidance highlights that Business Premium provides the clearest cloud replacement for traditional Group Policy because it includes Intune and Entra ID P1.
For businesses managing multiple laptops and hybrid workers, this is a huge operational advantage.
Microsoft Defender for Business
Business Premium also includes Microsoft Defender for Business. This provides:
- Endpoint Detection and Response (EDR)
- Threat monitoring
- Vulnerability management
- Advanced malware protection
- Security alerts and remediation guidance
When combined with Conditional Access and Intune, businesses gain a complete security ecosystem rather than a collection of disconnected tools.
Compliance and Cyber Essentials Benefits
Many organisations are working towards Cyber Essentials or ISO 27001 certification. Business Premium helps by providing:
- Policy enforcement
- Compliance reporting
- Device status monitoring
- Security evidence generation
- Centralised management
Internal Cyber Essentials guidance notes that Business Premium can deliver compliance evidence directly through policy assignment and reporting, whereas Business Standard often relies on manual processes and technician checks.
The Cost Difference is Smaller Than You Think
Many businesses choose Business Standard because it appears cheaper. However, once you start adding:
- Device management solutions
- Additional identity protection
- Cyber insurance requirements
The cost advantage quickly disappears.
Business Premium bundles these capabilities into a single licence, making it one of the most cost-effective security investments available to SMEs.
Final Thoughts
Business Standard is an excellent productivity licence. Business Premium is a business protection licence.
Whilst both allow staff to work effectively, only Business Premium provides the security controls needed to protect modern organisations against today’s cyber threats.
The standout feature is Conditional Access.
In a world where cyber criminals can attack your Microsoft 365 environment from anywhere on the planet, Conditional Access lets you decide exactly who gets access, from where, on what device and under what conditions.
For organisations serious about reducing cyber risk, achieving Cyber Essentials, meeting cyber insurance requirements and protecting business data, Microsoft 365 Business Premium is not just the better licence. It’s the smarter business decision.
